This is what they used to do whenever they got a new order:
Print it out
Stick it on a board on the appropriate day for the delivery
Type up an email to the customer
Book the job onto Tookan
On the day of delivery they would send out an SMS via Twilio and then deliver the order.
This was a massive time waste and a lot of work for every single order. They needed a little bit of automation magic to really make this more efficient.
Using the power of Zapier and it’s ability to take data from one system and push it to another I was able to change their old work flow to this:
Customer places order [no effort]
Order goes into Trello Pending List [automatic]
Staff member adds a delivery date to the Trello card and drops it on the ‘Done’ list [small effort]
Personalised email gets sent to the customer advising of delivery date [automatic]
Job gets sent to Tookan with all the customer’s information ready for the driver [automatic]
SMS get’s sent to customer when the Driver is on their way [automatic]
That is literally it… From 5 things they had to do manually down to 1.
This is the power of automation – having multiple systems is NOT a bad thing in today’s business world however having a well designed process that removes as much human interaction as possible is what can make or break a small business in it’s early days.
